Coordinators' Responsibilities
2008-2009
Board Member:
The coordinator must be able to attend Board meetings and serve as a voting member of the CALTA Board.
Roster Compliance:
The rosters submitted on-line by the team captains arrive in an inbox in CALTA's e-mail. The CALTA webmaster will use the submitted rosters to create the web site roster lists and to organize the mailing of bag tags to new members. Throughout the season the coordinator should periodically check the line-ups on the weekly score sheets to ensure compliance with the team rosters listed in the web site.
Although not required, each coordinator will be given the sign-on/password for her division's inbox and can access it if desired.
Division Scorekeeper:
The coordinator will serve as scorekeeper for her division. She will receive the match score sheets from her division's captains by fax and will send the total points to the CALTA web site scorekeeper by e-mail.
Each coordinator should provide a fax number to which the captains can fax the score sheets after each match. The CALTA webmaster will request from each coordinator the phone and fax number that should be on the division's match score sheet for weekly submission.
After the season begins, the scorekeeper should ensure that all score sheets are received on a timely basis (within two days of play). If they are not received on time, the scorekeeper should contact the captain of the home team; if there is a make-up, the scorekeeper should note the rescheduled date on her master schedule.
The scorekeeper should forward the "total points" for each match (as soon as received) by e-mail to the CALTA webmaster for input to the web site. Throughout the season, the scorekeeper should check that the division results shown in the web site agree with her records.
Annual Luncheon:
The coordinator will participate in plans for the annual luncheon in May and will be asked to involve some of her team members in preparations as required. She should ensure that members of her team are available on the morning of the luncheon to help with room set-up -- and on the day before if needed.
